How to Answer the Phone Politely

Teach your child proper phone etiquette with clear steps for polite and confident phone conversations.

  1. Basic Phone Greeting. Start with a clear, friendly greeting. Say 'Hello' or 'Good morning/afternoon' followed by your family name, like 'Hello, this is the Smith house' or simply 'Hello, this is Emma.' Speak clearly and at a normal volume so the caller can understand you easily.
  2. Listen and Respond Appropriately. After your greeting, listen carefully to what the caller says. If they ask for someone specific, respond politely with 'One moment please' or 'Let me get them for you.' If the person isn't available, say 'I'm sorry, they're not available right now. May I take a message?' Never give detailed information about where family members are or when they'll return.
  3. Taking Messages. Keep a notepad and pen near the phone for messages. Ask for the caller's name, phone number, and a brief message. Repeat the information back to make sure you got it right. Say something like 'Let me read that back to you' and then confirm the details. End with 'I'll make sure they get the message.'
  4. Ending the Call Politely. Before hanging up, make sure the conversation is complete by asking 'Is there anything else I can help you with?' Thank the caller by saying 'Thank you for calling' and let them hang up first, or say 'Have a good day' before ending the call gently.
  5. Handling Wrong Numbers and Unknown Callers. If someone asks for a person who doesn't live there, simply say 'I'm sorry, you have the wrong number.' If you don't recognize the caller or feel uncomfortable, it's okay to say 'I'll need to take a message' rather than giving out information. Never tell strangers that you're home alone.
