How to Set Up and Manage a Shared Google Calendar for Your Family

Learn to create and organize a shared Google Calendar that keeps your whole family connected and on schedule.

  1. Create Your Family Calendar. Start by opening Google Calendar on your computer or phone. Look for the plus sign (+) next to 'Other calendars' on the left side. Click 'Create new calendar' and give it a clear name like 'Smith Family Calendar' or 'Our Family Schedule.' Add a description if you want, then choose a time zone. Pick a color that stands out from your personal calendar so family events are easy to spot. Click 'Create calendar' when you're done.
  2. Share the Calendar with Family Members. Find your new family calendar in the left sidebar and click the three dots next to it. Select 'Settings and sharing.'   4. Add Events and Set Helpful Reminders. When adding events, include important details in the description like addresses, what to bring, or contact information. Set up reminders that work for your family - maybe 1 day before for big events and 30 minutes before for daily activities. For recurring events like weekly piano lessons or monthly family dinners, use the repeat option so you don't have to enter them over and over. Don't forget to include prep time for events that need it, like 'Get ready for soccer practice' 30 minutes before the actual practice time.
  5. Establish Family Calendar Rules. Create simple guidelines that everyone understands. Decide who can add what types of events - maybe kids can add their own activities but need to ask before adding friend events. Establish a rule about how far in advance to add events, especially for things that affect the whole family. Make sure everyone knows to check the calendar daily, perhaps during breakfast or dinner. Agree on what level of detail to include - some families like every detail while others prefer just the basics.
  6. Keep Your Calendar Organized and Updated. Set aside a few minutes each week to review and clean up your calendar. Remove old events, update any changes, and make sure upcoming events have all the necessary details. If someone's schedule changes regularly, designate them as responsible for keeping their own events updated. Consider doing a weekly family calendar review where you go over what's coming up together. This helps everyone stay informed and gives you a chance to coordinate rides, meals, and other logistics.
